BHS-PTO job descriptions
There are three Co-Presidents, each serves a three year term. As one president rolls off, a new one joins the Board. The co-presidents preside over all meetings of the PTO and of the Board, coordinate and oversee the work of the other Officers, the Board, Class Representatives and liaisons to the Board. In addition, they appoint Class Representatives for the Freshman class and fill any vacancies with respect to other Class Representatives. In addition to the 90 minute monthly Board meetings, the co-presidents have an hour long bi-monthly meeting with the BHS headmaster and generally meet monthly as a group to prepare for Board meetings. They oversee the grant cycle, which includes, setting the budget with the Board, presenting to BHS teachers in a call for grants, organizing the grant proposals as they come in and overseeing the discussion/voting process. When a new co-president comes on the Board, it is the responsibility of the the returning co-presidents to transition the new person into his/her role.
The Treasurer has custody of the funds and all financial records of the PTO, pays all bills, keeps accurate records and receipts for expenditures, disburses funds, reports the financial status of the PTO at upon request of the parents, and is responsible for preparing and filing tax forms. The treasurer is expected to attend every 90 minute monthly Board meeting. When a new treasurer comes on the Board, it is the responsibility of the outgoing treasurer to transition the new person into his/her role.
The Recording Secretary attends every 90 minute monthly Board meetings and keeps minutes of the discussion. After each monthly meeting s/he types up the meetings and e-mails them to the co-presidents for review. When a new recording secretary comes on the Board, it is the responsibility of the outgoing recording secretary to transition the new person into his/her role.
There are three Class Representatives for each of the four classes at Brookline High School. Each Class Representative should be a parent or guardian of a student in the class s/he represents. Class Reps generally serve a four year term. Responsibilities include attending 90 minute monthly meetings of the PTO executive Board, scheduling planning and hosting regular meeting for parents and guardians in their respective classes. Reps should send out notifications to parents guardians prior to each meeting, arrange with BIG to record each meeting and send parents a link to the recording as well as any followup after each meting occurs. Class reps are expected to greet attendees as they arrive for meetings. They should also send the link to the webmaster so the meeting videos can be posted on the PTO website. As a liaison to parents/guardians in their respective classes, they should solicit feedback and bring any issues up to the executive board, and meet occasionally with their class Deans to discuss and plan class meetings.
Sophomore parent reps are in charge of planning and coordinating the incoming Freshman BBQ. The rising junior class reps pass on information about the event to the next group of volunteers. Likewise, the rising sophomore parent reps should meet with incoming freshman parent reps to help guide them in their duties. This includes showing them how send e-mails to their class.
